The Business Problem

OpenPages is a deeply configurable application providing the ability to configure Object Types, Data Fields, Views, Workflow, Calculations and many other elements to build an end-client solution.

Whilst the methods of configuring the application are generally well understood, there is a lack of tools to EXTRACT information about how the application is actually configured.

Knowing how the system is actually configured is important for many purposes such as :

  • Help System Administrators to manage the system configuration by extracting critical configuration information
  • Use to compare common configuration settings between two environments to support environment migration
  • Help User Administrators manage user access by extracting User, Group and Role information
  • Also last login date which can help identify users not using the system
  • Identify usage of fields across profiles, views, calculations and workflows
  • Automatic system documentation generation / Data Dictionaries of the many aspects of the OpenPages configuration

The solution is the Crystal Meta Data Extract Report

The Crystal Computing Meta Data report extracts many elements of OpenPages configuration as well as some configuration related end-client data.

The report output is a multi-tab Excel spreadsheet which includes:

  • Object Types & Data Fields configured in the system (including data types)
  • Object Level Field Dependencies (Visibility, Editability, Dependent Picklists)
  • Data Views (both Standard UI Profile Views and TFUI Views) including fields configured onto each View
  • The Workflows configured - including all Stages and Stage Actions
  • The Calculations configured
  • The User accounts set up (including Group and Role Assignments) and last login date
  • The Administrator User accounts set up and what permissions they have.
